Apprenticeship ambassador resources

  • new members of the apprenticeship ambassador network (AAN)
  • existing members getting started on the portal

Online events safeguarding guidance

All apprenticeship ambassadors should feel safe and confident while participating in online events and activities when representing the network. You should review the following guidelines to support you when taking part in online events for the AAN.

Staying safe online

You should:

  • only sign up and attend events to represent the network when you have all the details you need
  • use your professional email address when registering for and signing into training and virtual events
  • only use login details from a known associate and do not share them
  • use the AAN backdrop when attending online events, and if you can't, check your background to make sure it's clear of photos and confidential information
  • always make sure you use a secure Wi-Fi network
  • never share any personal information about yourself online
  • not provide your personal contact details to anyone at the online event (for example, social media or personal email)

Before an online event

You should:

  • tell your line manager, or someone else in their absence, that you're supporting the event
  • get permission from your event contact before taking any photographs or digital recordings and explain what you will be using them for

On the day of the event

You should:

  • sign in to the platform using your correct name and professional email address.
  • use the AAN backdrop provided on the platform
  • follow any additional safeguarding procedures you may have received from the organiser for the virtual events
  • make sure your other apps are closed on your laptop, including emails and only have open what you need

After the event

After the event:

  • If any of the learners who join the event contact you through email or social media, do not respond. Forward any enquiries to AAN.Enquiries@education.gov.uk for the Department for Education (DfE) to follow up.
  • Do not accept or request to follow or friend anyone under 18 on personal accounts. Social media has many benefits, but it is important that everyone feels comfortable and safe using it.
  • If you're contacted by a teacher or employer, for example, about becoming involved in a future event, if you do not feel comfortable responding, pass this on to AAN.Enquiries@education.gov.uk or your line manager, as you feel appropriate, for them to respond.

In-person events safeguarding guidance

All apprentice ambassadors should feel safe and confident while participating in face-to-face activities when representing the network. You should review the following guidelines to support you when taking part in in-person events for the AAN.

Before the event

You should:

  • make sure you have all of the details of the event, including the name of the venue, times and details of your contact for the day
  • make sure the venue is in a professional or public space
  • take responsibility for knowing where you are going on the day, how you will travel to your event, what time you will need to leave, and what car parking is available
  • if it's an evening event, check if public transport will still be available for you to travel home
  • tell your line manager, or someone else in their absence, where you are
  • make sure a friend or family member is aware of where you will be and for what times, if the event is happening in the evening or at the weekend

On the day

You should:

  • only attend events to represent the network when you have all the details you need
  • sign in and out as a visitor at reception
  • if at a school or a setting with young people, pay attention to their safeguarding policy and processes - this will usually be brought to your attention as you sign in by the receptionist
  • wear your identification badge
  • do not spend any unaccompanied time with students from the school event without another member of their staff or adult present with you
  • do not provide your personal contact details to anyone under 18 at the event (social media or personal email)
  • get permission from your event contact before taking any photographs or digital recordings and explain what you will be using them for

After the event

After the event:

  • If any of the learners you met at the event contact you through email or social media, do not respond. Forward any enquiries to AAN.Enquiries@education.gov.uk for the Department for Education (DfE) to follow up.
